eu-LISA is an European Agency for the operational management of large-scale IT systems in the area of freedom, security and justice. eu-LISA welcomes to join their General Coordination Unit in Tallinn, Estonia 


(1 -year contract) 

The role of Administrative Training Assistant will be responsible for assisting Training Coordinator and provide administrative support for training related activities. 

The main tasks are:

  • Assist Training Coordinator in organizing, planning and implementing all eu-LISA training related activities for EU Member States IT-specialists. Special focus is on timely and efficient execution of Annual Training Plan of the Agency and objectives from Training Strategy in general.
  • Ensure the Annual Training Plan related schedules and objectives are met
  • Assist in coordination of tasks with Service providers (preparation and follow up of files)
  • Assist in budget definition and monitoring
  • Provide all necessary training related information to trainees and trainers to ensure smooth and effective delivery of courses
  • In collaboration with topics experts, trainers and Training Coordinator assist in preparation of training related materials (training curricula, training programme, materials)
  • Create comprehensive reports on training activities (quarterly and annually), collect, analyse and interpret training data
  • Create and maintain updated large internal and external training databases
  • Create various training related documents in power point, word, excel, visio and similar formats
  • Provide assistance to the Training Coordinator in checking documents from contractor and external trainers.


  • Experience in providing administrative support and very good computer skills including MS Office applications (Word, Excel, Outlook, etc.)
  • Excellent working knowledge of English language
  • A level of education that corresponds to completed university studies of at least 3 years attested by a diploma.
  • Minimum 5 years of relevant professional experience from which minimum 3 year experience in the relevant field.
  • Ability to effectively deal with stress factor occurring in heavy workload periods
  • Ability to meet deadlines
  • Collaborative working style
  • Knowledge of EU administrative working procedures as an asset
  • Proven track record in training, communication or HR field as an asset.
  • Microsoft Visio program previous experience as an asset
